BlerdCon is an annual pop culture convention celebrating the intersection of Black culture and geek fandom, bringing together thousands of attendees, exhibitors, media personalities, and celebrity guests. The event demands seamless coordination across multiple operational departments — including marketing, media relations, volunteer management, and guest logistics.

Thomas served as the on-site Public Relations and Communications Intern for BlerdCon, operating as the ground-level point of contact for all PR and communications functions during the convention. Working in direct coordination with the Director of Marketing — who managed operations remotely — Thomas was entrusted with significant independent responsibility across a range of high-stakes functions in a fast-paced, public-facing environment.


Roles and Responsibilities

In this role, Thomas functioned not merely as a support resource, but as an embedded operational lead for public relations on the ground. His core responsibilities included:

  • Volunteer Oversight: Serving as the primary point of contact for all on-site volunteers, ensuring personnel were present at assigned posts, on time, and maintaining professional conduct throughout the event.

  • Marketing Coordination: Collaborating directly with the on-site marketing team to align communications strategy, messaging, and real-time execution during the convention.

  • Crisis Identification & Escalation: Monitoring developing situations, exercising sound judgment to identify potential PR or operational crises, and promptly escalating them to the Director of Marketing with clear, actionable information.

  • On-the-Ground Crisis Management: Implementing solutions and directing team members to resolve issues in real time under the guidance of remote leadership.

  • Media Relations Support: Supporting the logistics of press operations, including coordination of celebrity interviews and management of media access.

Crisis Management Case Study

Situation: Press Room Displacement — 30 Minutes to Showtime

Situation

BlerdCon's media team had been allocated a dedicated room within the host hotel to serve as the official press room for scheduled celebrity interviews with credentialed journalists. With multiple interviews planned and media professionals already en route, the press room represented a critical operational asset for the event's PR operations.

Thirty minutes before the first scheduled interview, Thomas conducted a proactive check of the press room and discovered it had been occupied by another hotel guest — rendering it immediately unavailable. With no backup plan in place and media talent, celebrity guests, and journalists converging on the space, the potential for a significant press relations failure was acute.

Task

Thomas needed to prevent disruption to the interview schedule while minimizing any inconvenience to the celebrity guests and journalists involved — all within an extremely compressed timeframe and without the benefit of having senior leadership physically present to guide the response.

  • Immediate Escalation: Thomas promptly informed the Director of Marketing of the situation, providing a clear and concise account of the problem and the available options — enabling remote leadership to advise effectively without delay.

  • Triage & Prioritization: Rather than waiting for a single comprehensive solution, Thomas identified an adjacent room that could accommodate the first interview with minimal relocation for the celebrity and media personnel. He coordinated with convention staff to secure that space immediately, ensuring the opening interview proceeded on schedule.

  • Parallel Problem-Solving: Simultaneously, Thomas worked with the on-site team to source an appropriate alternative room to serve as the press room for all subsequent interviews — resolving the broader logistical problem without allowing it to cascade into a full operational disruption.

Result

All scheduled celebrity interviews were completed without cancellation or significant delay. The media professionals and celebrity guests experienced minimal disruption, and the situation was resolved before it could develop into a press relations incident. What could have resulted in negative media coverage, frustrated journalists, or a damaged relationship with celebrity talent was instead neutralized through Thomas's quick thinking, sound judgment, and effective communication under pressure.
